Immigration Specialist

Job description

The Immigration Specialist reports to the Head of Human Resources, NYC/CHI & US Operations and works closely with the HR Manager- LA. Their main responsibilities are to work with employees, managers and external lawyers in regards to all immigration matters. The Immigration Specialist must make all the necessary arrangements and provide the required documentation in order to facilitate the process to obtain legal authorizations to work in the US.

This is a full-time staff role with benefits, and although we are currently working remotely, ideal candidates will be based locally in either New York, or Los Angeles.


  • Manage all operations and activities related to immigration including all applications to obtain valid work permits as well as all requests for applications for permanent residency, etc. ;
  • Support all employees in their work permit application process by ensuring to collect all relevant documents for the application;
  • Follow up regularly on the progress of the application process and work closely with the HR and Recruitment Teams;
  • Act as the point of contact for the employees and managers for all immigration related concerns;
  • Ensure that all HR database is up to date in regards to immigration related information in order to meet compliance requirements;
  • Conduct internal audits on a regular basis while monitoring the status of all work permits to ensure maximum compliance;
  • Maintain records of financial costs related to immigration and to relocation of employees;
  • Be informed and up to date of any changes in immigration legislation
  • Assist in configuring and improving the HR system to ensure all relevant information relating to immigration;
  • Manage all aspects of the relocation service process with the support of HR and Recruitment Teams;
  • Participate in related projects as required

Job requirements

  • Experience in a similar role
  • Advanced knowledge on immigration regulations and practices within the United States
  • Adopts a flexible, comprehensive and adaptable approach, when working with diverse individuals or situations
  • Ability to build strong relationships and collaborate with multiple internal and external partners
  • Ability to retain confidential information
  • Ability to work with members of the team, sharing information and working collaboratively to achieve team objectives
  • Acts as an ambassador for the team both internally and externally
  • Self-motivated and manages own time to ensure tasks are completed as required
  • Create and maintain a tracking system for all files
  • Able to prioritize workload effectively with strong attention to detail
  • Ability to manage multiple files simultaneously
  • Ability to be proactive and to anticipate needs
  • Identifies issues and is able to advise and implement practical solutions
