The Facilities Coordinator is responsible for the overall building efficiencies from a maintenance and operations perspective. This role works closely with the Office Manager to ensure that daily studio operations are at a high standard and coordinates regularly with various departments. Daily responsibilities include, but are not limited to, the maintenance, aesthetics, repairs, safety and security of the studio. The Facilities Coordinator works in parallel with the Office Manager and under the supervision of the Montreal Head of Facilities.
Oversee daily and ad hoc maintenance and refurbishment projects as defined by the Head of Facilities: minor repairs, painting, standing desk, art, and acoustic panel installations
Manage the Facilities ticketing queue, responding to any requests from staff with regard to the environmental state of the studio: lighting, heating, cooling, etc.
Main point of contact for Facilities maintenance vendors: building management technicians, external maintenance providers
Maintain a preventative maintenance schedule for the facility to ensure the needs of all relevant stakeholders are met
Update the workplace management software as required and liaise with managers, employees and the Systems department to ensure that all moves are performed in a timely manner, under the supervision of the Head of Facilities
Member of the Health & Safety Committee: ensure that all Facilities-related health, safety, and security tasks are carried out at the relevant times
Ensure that Physical Security standards are maintained at all times, including supporting the Head of Facilities in preparation for security audits by Framestore clients, managing the security system (alarms, badge readers), CCTV audits, and on-site security team;
Work alongside the Systems department to ensure that all meeting and vision room installations and technology work effectively at all times
Support the Head of Facilities with the installation of wall art with the guidance of studio aesthetics stakeholders
Conducts research for longer term infrastructure projects for the Montreal studio, including scope of work, project plans, and budgets
Acts as the second point of contact with the building landlord and be available as part of the 24/7 rotating, on-call facilities team for emergencies
Can be called upon to perform additional tasks, as required by the Head of Facilities
